Events Assistant | Job in Rutland
Liaise with event organizers, clients, and suppliers to ensure smooth coordination of events.
Assist in the planning and organization of events, including conferences, exhibitions, seminars, and product launches.
Prepare detailed event schedules, budgets, and risk assessments.
Coordinate with the venues, suppliers, and external service providers to arrange equipment, decorations, catering, and other logistical requirements for events.
Manage and respond to event inquiries via email or phone, providing information about availability, pricing, and services.
Collaborate with marketing and communication teams to create promotional materials for events.
Handle on-site management duties during events, such as setting up the venue, managing registration, and troubleshooting any issues that may arise.
Conduct post-event evaluations to identify areas for improvement and make recommendations for future events.
Maintain accurate records of event details, budgets, and invoices.
Support the Events Manager in developing and implementing event strategies that align with the company's objectives.
Review and update the upcoming events schedule, ensuring all necessary arrangements have been made for each event.
Schedule meetings with event organizers to discuss event details, including requirements, budgets, and timelines.
Collaborate with internal teams to coordinate staffing needs for events, including security, hospitality, and technical support.
Prepare and submit event proposals to secure bookings, considering factors such as venue availability, budget constraints, and client preferences.
Attend relevant industry events and conferences to network, gather insights, and identify potential partnerships or collaborations for future events.
Assist in the development of event-related content for the company's website, social media channels, and email newsletters.
Participate in team meetings to discuss ongoing projects, share updates, and address any challenges or concerns.
Stay updated on industry trends, competitor activities, and best practices to ensure that events are innovative, engaging, and effective.
Review event performance metrics, such as attendance rates, client satisfaction, and ROI, to identify areas for improvement.
Collaborate with the Events Manager to plan and implement strategies to improve event performance over time.
Conduct post-event analyses to evaluate the success of each event and provide recommendations for future events.
Prepare and submit monthly reports on event activity, budgets, and revenue to the Events Manager and other relevant stakeholders.
Participate in strategic planning meetings to contribute ideas and insights that will help shape the company's event strategy moving forward.
