We are seeking a highly organized and detail-oriented Project Administrator to join our team in West Midlands. The successful candidate will play a crucial role in ensuring the smooth operation of various projects by providing administrative support.

  • Assist in the planning, coordination, and implementation of project activities, adhering to timelines and budgets.

  • Maintain accurate and up-to-date records related to project tasks, progress, and status.

  • Prepare and manage project budgets, invoicing, and expenses in coordination with finance teams.

  • Assist in the development of project proposals, reports, and presentations to meet client requirements and expectations.

  • Contribute to continuous improvement by identifying opportunities for streamlining processes, increasing efficiency, and reducing risks.

  • A degree or equivalent qualification in Business Administration, Project Management, or a related field is preferred.

  • Proven experience as a Project Administrator or similar role within a project-driven organization.

  • Strong organizational skills, with the ability to manage multiple projects simultaneously and prioritize tasks effectively.

  • Excellent written and verbal communication skills, with the ability to write clear and concise reports and presentations.

  • Proficiency in using Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. Familiarity with project management tools such as Asana, Trello, or similar is desirable.

Role Responsibilities

As a vital member of our team, the Project Administrator will play a crucial role in ensuring the successful delivery of various projects within our organization based in West Midlands. The following outlines the key responsibilities for this position:

Project Coordination:

  • Assist project managers in developing and implementing project plans, schedules, and workflows.
  • Collaborate with cross-functional teams to ensure effective project execution and successful outcomes.

Document Management:

  • Prepare, maintain, and distribute project documents such as meeting minutes, reports, status updates, and project plans.
  • Maintain accurate and up-to-date project records for future reference and audits.

Administrative Support:

  • Schedule and coordinate meetings, including arranging venues, preparing agendas, and taking minutes.
  • Manage project correspondence, email communication, and other administrative tasks as required.

Resource Allocation:

  • Assist in resource planning by providing status updates on project progress and identifying potential resource needs.
  • Liaise with team leaders to ensure appropriate allocation of resources for each project.

Risk Management:

  • Identify and document potential risks associated with ongoing projects, and work collaboratively with the project management team to mitigate these risks.
  • Monitor project progress and report on any issues or delays to the relevant stakeholders.

Budgeting and Financial Management:

  • Assist in the creation of budgets for assigned projects, ensuring adherence to financial guidelines.
  • Track project expenditures and provide regular updates on spending against allocated budgets.

Quality Control:
